Job Purpose
Main Duties and Responsibilities
- Consolidate donation data from multiple sources for input and verification.
- Prepare bank debit files and follow up with donors regarding incomplete or incorrect data.
- Monitor data quality and ensure compliance with standards.
- Manage donor fulfillment processes (Welcome, Cancellation, Receipts, etc.), including data file preparation, mail merges, and coordination with vendors for timely and accurate dispatch.
- Support inbound donor communications (calls, emails, walk-ins).
- Consolidate and verify telemarketing (TM) data; check for accuracy and flag any discrepancies for correction.
- Coordinate with service vendors to manage the fulfillment process, ensuring it is timely and accurate.
- Follow up with donors to verify information and proactively engage potential donors to maximize their response to fundraising efforts.
- Assist in the preparation and production of event materials (e.g., printing, packaging, logistics, invitations, surveys).
- Provide on-site support and execution for donor engagement events and campaigns.
- Prepare and send donation receipts/communications for special donor segments (e.g., mid-value donors).
- Support personalized engagement campaigns to strengthen relationships and enhance donor loyalty.
- Handle general administrative tasks such as postage, filing, and documentation.
- Assist with other fundraising (FR) and donor service (CS) ad hoc duties as required.
The Ideal Candidate
- University graduate.
- Minimum 2 years of hands-on experience in customer service and administrative support, experience in fundraising is an advantage.
- Solid experience in data handling and verification, and with a good quality control mindset.
- Proficient in MSF office (Excel, Word, Outlook); attention to detail is essential.
- Good communication and interpersonal skills; able to handle donor inquiries professionally via phone, email, and in person.
- A service-oriented team player who can also work independently with minimal supervision.
- Good proficiency in written English and Chinese.
- Able to work independently but also a good team player.
